Client portals

Client portals that answer the questions before they are asked.

Many of the calls and emails a service business gets are customers checking on something. A portal gives them a private place to see where things stand, any time.

Sound familiar?

  • "Just checking in" emails

Customers chase for updates, documents and invoices, and each reply takes someone away from the work.

  • Documents scattered across inboxes

Reports, certificates and contracts are sent as attachments and lost, then sent again.

  • No record of what was agreed

Approvals and changes happen in calls and messages, so there is no single history to check.

What is included.

The usual starting point. Your proposal sets out exactly what your project covers.

  • Secure customer logins, with password reset
  • Job, booking or project status at a glance
  • Documents, reports and invoices to download
  • Approvals and sign-offs recorded with a date
  • Notifications by email when something changes
  • An admin view for your team to manage it all

Typical builds.

A few of the things this covers. If yours is not listed, the estimate will still price it.

  • Customer job and visit history
  • Progress reports for parents or clients
  • Document and certificate libraries
  • Quote approval and e-sign off
  • Invoice and payment history
  • Support requests and messages

How a project runs

Four steps, in order. A named lead stays with you throughout, so you always know who is responsible and what happens next.

  1. Estimate and discovery call

Get an estimate in a few minutes, then a free 20-minute call about the problem, who does the work today and what a good result looks like. No obligation to go further.

  2. Written proposal

What we will build, what is left out, what we need from you and how we will both know it is finished. The price and timeline are confirmed here, before any work starts.

  3. Build, in view

You see working software as it takes shape, not just at the end, so you can steer early while changes are still small.

  4. Launch

We put it live and walk your team through it. Then we either run it for you or hand everything over: your choice, set out below.

Questions about client portals.

Is customer data kept secure?

Yes. Each customer only sees their own records, logins use secure sessions, and data is held with mainstream hosting providers under UK GDPR terms.

Can the portal use our branding?

Yes. It carries your name, colours and logo, and can sit on your own web address.

Can it show data from our other systems?

Usually. If the system has an API, the portal can show its data, such as invoices from Xero or bookings from your diary.

Do customers need to install anything?

No. It runs in the browser on any phone, tablet or computer.
