Start small

Automation doesn't have to mean a big new system. The best first projects are small, repetitive jobs that someone does every day and nobody enjoys.

The usual five

  • Enquiry intake: forms that get the right details first time and put every enquiry in one place, not scattered across inboxes.
  • Quotes from your own price list: a calculator that applies your rules, so quotes come out quick and consistent.
  • Reminders: appointment, payment and renewal reminders that go out on time without anyone having to remember.
  • Invoices into the accounts: finished jobs or approved timesheets turned into draft invoices in Xero or QuickBooks.
  • Document expiry tracking: insurance, certificates and contracts flagged before they lapse.

How to pick yours

Look for the task that's done most often, follows the same steps each time, and causes real trouble when it's forgotten or done wrong. That's usually the one to automate first.

If a simple tool like Zapier can do it, use that. Custom automation earns its place when the rules get complicated, the volume's high, or per-task fees are adding up.
